Feature release | Reassignment Request

Exciting news for all our users! We're thrilled to announce the rollout of a highly requested feature: the ability to request reassignment for sign requests. Now, as a signee, you have more flexibility than ever before. In addition to the familiar actions of signing or declining a sign request, you can also request a reassignment. This feature is particularly useful when you're invited to sign an agreement but lack the authority to do so.

Here's how it works:

  1. Navigate to the 'Actions' menu located in the upper right corner of the screen.
  2. Select the 'Reassign' option from the menu.
  3. Enter the personal information of the recipient who is authorized to sign.

With just a few clicks, you can seamlessly transfer the sign request to the appropriate individual, ensuring smooth and efficient workflow management.

Feature release | Subscription & Usage

As Sign by CM.com, we aim to provide a solution that is not only user-friendly but also cost-effective and transparent. With the introduction of our new Sign bundles, we recognized the need for enhanced transparency regarding the current usage within these bundles. As a result, we have completely redesigned the subscription page. In addition to the existing information on subscription plans and prices, we now also display:

  1. Subscription costs per period.
  2. Exact period dates.
  3. Current usage within the bundle, showcasing the number of documents sent.
  4. Potential out-of-bundle charges. Documents that have been declined or expired will be deducted from the out-of-bundle documents in the given period. Thanks to this real-time overview, you can closely monitor your consumption.

Feature release | Sharing Templates

I'm thrilled to announce that we now offer the ability to share templates. This, combined with the new 'Users & Teams' feature, creates a powerful capability for creating and sharing templates within your team. As a Portal Owner, you can even directly share templates with all users within your organization.

Upcoming Feature: Identity Verification - ID Scan

Additionally, we are in the process of integrating our ID Scan into Sign by CM.com. With this service, signatories can verify their identity by scanning their ID documents, such as passports or driver's licenses, on behalf of the customer. A report of the identity verification process is linked to the Sign audit report, enabling the generation of electronic signatures that meet and exceed the requirements outlined in the eIDAS Regulation for advanced electronic signatures in Article 26. This is contingent on customers selecting additional authentication options for the signing process and ensuring that the means employed to identify signatories before providing that information to CM.com are sufficiently reliable.

Feature release | Templates - ‘Real Recipients’

With the addition of 'Real Recipients,' we are one step closer to a brand-new experience for templates. Recently, we added templates as part of the dashboard, making them more accessible. With 'Real Recipients,' you can now add a (counter) signer or approver directly to the template, without the need to enter this recipient every time you create a new dossier. This makes the use of templates even more efficient.

Improvement | Identity Verification (OTP)

We have expanded the channels for sending OTP codes used for Identity Verification. Now, once the OTP Verification has been activated, an OTP can be sent via SMS or email. With these additional channels, in addition to the existing email, SMS, and WhatsApp channels for sending invites, it becomes a comprehensive two-factor authentication (2FA) method for Identity Verification.

Therefore, when the invite is sent via email, it is recommended to send the OTP code via SMS. Conversely, when the invite is sent via SMS (or WhatsApp), it is advisable to send the OTP code via email. This approach enhances the security and flexibility of the Identity Verification process, providing users with multiple options for receiving their OTP codes based on the channel through which the invite is delivered.

Just before a short summer recess, we have some exciting changes to announce:

Improvement | Audit Report

We've made several enhancements to the audit report. Firstly, the invite channel is now included, offering clear insight into the communication channel and the specific email address or mobile number used for each recipient. In addition to noting the type of invite channel (email, SMS, or WhatsApp), we've also added information about the channel used to 'activate' the invite. This allows you to directly identify if a user initiated the signing process from, for example, the email. It's important to note that when using the API, the channel information can only be displayed when explicitly defined. If no channel was defined and a custom channel is used, it will not be shown in the report, as this information is not known to Sign.

Feature Release | Sent on Behalf (of a Team)

With the introduction of the brand-new Users and Teams, we have released the first feature utilizing Teams. Now, it's possible not only to send a dossier on behalf of yourself (with these dossiers being visible only to you, i.e., private) but also on behalf of your team. Sending a dossier on behalf of your team makes the dossier visible and accessible to all team members. This eliminates the need to share dossiers via 'Shared users.' The 'Shared users' feature is expected to be terminated by the end of this year, so ensure you set up your Teams and discontinue the use of the 'Shared users' feature.

Improvement | Overview (Dashboard)

We've introduced a brand-new overview (Beta) aimed at providing a better view of all dossiers in their different states. Dossiers requiring your attention will be highlighted at the top of the dashboard. Additionally, templates are now more prominent when creating a new dossier, making the process more efficient and effective.

It also lays the groundwork for supporting the display of dossiers sent on behalf of a team. When accessing a section in 'My Dossiers,' the dossiers sent by you are displayed, and these dossiers are exclusively visible to you. The most significant change in the dossier overview is the relocation of filters from the left menu to the main section. Each state can now be used to directly filter the dossier overview.

Dossiers sent on behalf of a team will be presented in the 'Team Dossiers' section. We welcome your feedback on the new dashboard and would appreciate hearing about your experience!

Feature release | Qualified Electronic Signatures

Sign by CM.com not only complies with the eIDAS legislation requirements for Advanced Electronic Signatures (AdES), but as of May 1st, we proudly announce our ability to deliver Qualified Electronic Signatures (QES). This support extends to all three levels of Electronic Signatures defined under the eIDAS Regulation. A QES, accompanied by a qualified certificate, ensures the highest levels of authenticity and originality. It verifies the signer's identity with a legitimacy level equivalent to the legal value and effect of a traditional handwritten signature in Europe.

In the process of obtaining a QES, a user signs a document based on a qualified digital certificate, offering a trustworthy digital representation of their identity. This involves a highly regulated identity verification process, such as extracting information from the ID document by reading the NFC chip and recognizing the passport owner through a sophisticated facial recognition and liveness check process.

Feature Release | Beta Features

We are thrilled to announce the go-live of a brand-new Beta toggle. This toggle allows you to preview upcoming features and dashboard improvements. The first beta features have already been released:

  • Bulk Sending: With bulk sending, you can send out multiple Sign requests at once based on a predefined template. The required information can be uploaded using a CSV file. Additionally, a bulk dashboard has been created to track the status of bulk sending and initiate bulk actions (such as sending reminders to all signees or canceling all pending dossiers within a bulk sending).
  • Users & Teams: The new Users and Teams feature allows you to create teams within your organization and assign users. This provides the opportunity to share templates, manage Sign requests, and utilize the Sign Archive across your organization, enhancing the effectiveness and efficiency of working with Sign by CM.com.

Feature Release | Duplicate Sign Request

Now, you can duplicate a Sign request, making it possible to resend it with small adjustments. This can be done for a completed, declined, or pending Sign Request. Simply click on the three dots menu and select the duplicate option. All settings of the dossier will be copied, making it ready to be sent (again) directly.

Bug Fixes & Small Improvements

  • The number of days for a dossier to be extended has been changed from 90 days to 30 days, ensuring consistent data retention for dossiers.
  • Several bug fixes and small UX improvements have been implemented once a dossier is extended.
